New MartialWave Update: Automated Email Notifications for Due and Overdue Payments
Sending notifications for upcoming and overdue student tuition fees has been one of the most requested features here at Zanshin Software. With that in mind, we have officially implemented this resource in our first update of 2026!
Keeping tuition payments on schedule is a challenge for any academy owner. Often, a student’s delay isn’t due to bad faith, but simply forgetting the due date. To solve this, our martial arts management software now allows you to configure automated email alerts for both upcoming and late payments.
How to Configure Notifications
In the system Settings, go to Notification Settings. There, you can toggle the email alerts on or off for two distinct scenarios:
- A) Due Date Notification: Sent on the actual day the payment is due.
- B) Overdue Notice: Sent automatically two days after the due date.
By clicking the gear icon next to the toggle switch, you can also customize the email body text for each message to match your academy’s voice.
Note: We chose email as the primary delivery method because it comes at zero cost to you. WhatsApp integrations typically require a Business account and charge per message sent, which would increase your overhead.
Requirements for Use
Once configured, the system will send notifications to the person responsible for the “Accounts Receivable” entry, provided they have a valid email address on file.
Please keep in mind that email delivery depends on the recipient’s provider filters and spam policies, so 100% delivery cannot be guaranteed. However, this feature remains extremely effective as a preventive reminder, significantly reducing delays and improving your academy’s financial organization.
